Spreadsheets and COIOps
Most shops in this size band are not coming from CertFocus. They are coming from a workbook and an inbox. A sheet is a fair tool when someone owns it and the list is short.
| Question | COIOps sample | Spreadsheet and email |
|---|---|---|
| Price | Free list price up to 8 vendors, once signup exists. Starter $79/mo for the gate. Square charges in the app only when credentials are set. | $0 for the software. The cost is the person’s time. |
| Endorsement-page score | The sample scores additional insured, waiver, primary and noncontributory, limits, and named insured on certificates already loaded. | Only if a person types the result. The sheet does not read the PDF. |
| Shared blocked status | Gate board in the sample, with an override reason stored. | A column can say blocked. Nothing stops a habit override, and there is no audit unless you add one. |
| Chase email | Sends on a paid plan when Resend or SMTP is configured. Otherwise the chase is stored and not marked sent. | A person sends it from their own mailbox. That still works if our mail is not configured. |
| Hard lock on Procore or the check run | No. | No. |
Under about 8 vendors, with no near-miss, staying on the sheet is reasonable. The Starter conversation is the gate. See the sample board.
A certificate of insurance is not the insurance policy. COIOps provides document scores against your requirement templates — not live carrier verification. Competitor cells paraphrase public pages we cite; read their disclaimers before you treat marketing copy as a warranty. Not legal advice. Not a broker or TPA. See Compliance.
